Bookkeeper / Office Manager
St John Hardware is looking for a qualified individual for the Office Manager/Bookkeeper position, in Moscow Idaho. The Bookkeeper/Office manager is responsible for the financial reporting of the dealership, and directing the overall accounting practices, at the Moscow location, possibly assisting at the other locations. As with all positions within our dealerships, Bookkeeper/Office managers are expected to uphold the highest ethical standards.

Job duties for this position include:
  • Overseeing the financial and accounting system and personnel
  • Preparing monthly financial statements
  • Reviewing all financial statements and ledgers, and working with the staff to clear up any discrepancies
  • Meeting with the department managers regularly to go over business matters and help planning to increase profitability
Job Requirements:
Applicant must have a minimum of two years of relevant experience.
They should have strong communications, customer service, leadership and organizational skills. Proficiency with Microsoft Office applications, or the equivalent, is expected and familiarity with additional accounting software programs is valued.

Education:
A high school degree or equivalent is required. Courses in mathematics, business and accounting are beneficial.

Salary Range:
Earnings vary depending on experience, abilities and attitude.

Job Requirements:
  • All applicants must be authorized to work in the USA
  • All applicants must be able to demonstrate ability to pass pre-employment testing to include background checks, MVR, drug test, credit report, and valid driver license
  • Perform duties and responsibilities in a safe manner
  • Operate the department profitably within dealership guidelines
  • High school diploma or the equivalent
  • Will be trained on the dealership’s computer system
  • Ability to read and comprehend instructions and information
  • One year of supervisory experience
  • Some sales experience
  • Experience in automotive and ag parts departments
  • Excellent communication and managerial skills

Parts Manager Purpose:
Strives to return a satisfactory profit on dealer capital invested in parts inventory. Accomplish objectives through the use of proper purchasing procedures, inventory control, staff utilization, security, pricing, merchandising, displaying, and advertising.

Job duties for this position include:
  • Forecast goals and objectives for the department and strive to meet them.
  • Hire, train, motivate, counsel, and monitor the performance of all parts department staff.
  • Prepare and administer an annual operating budget for the parts department.
  • Maintain a balanced inventory consistent with the requirements of the Ag sector, all service departments, wholesale accounts, and the do-it-yourself public.
  • Establish pricing parameters in each customer category that generate sufficient gross profit, produce a satisfactory profit while maintaining customer loyalty.
  • Establish individual parts inventory levels and balance them for maximum turnover.
  • Ensure that parts inventory turns.
  • Monitor and adjust inventory to minimize obsolescence.
  • Ensure that all parts are properly tagged so that the dealership recovers full credit from the factory.
  • Supervise stock order procedures.
  • Set and enforce a policy on special order parts.
  • Analyze sales, expenses, and inventory monthly to maintain profit goals.
  • Develop and administer an aggressive wholesale parts program to produce profit.
  • Ensure that the same high quality level of service provided to outside customers is also provided to internal dealership customers.
  • Work with the service manager to ensure a timely turnaround of parts needed for internal jobs.
  • Attend manager meetings.
  • Hold weekly department meetings.
  • Analyze departmental operations and storage layout and revise as needed for maximum effectiveness.
  • Provide technical assistance to parts department employees.
  • Monitor parts department employees' payroll records.
  • Coordinate a prompt, efficient, and timely flow of paperwork.
  • Direct shipping and receiving efforts to ensure timely processing.
  • Monitor daily reports such as DOE, DOC, and sales productivity.
  • Develop and utilize a lost sales tracking report.
  • Direct outside parts and counter sales efforts, including a telemarketing program to keep in contact with customers.
  • Develop sales promotions.
  • Take advantage of all manufacturers' inventory co-op advertising.
  • Develop, enforce, and monitor guidelines for working with customers to ensure maximum customer satisfaction.
  • Handle customer complaints immediately and according to the dealership's guidelines.
  • Ensure that all dealership purchases are properly accounted for before payment is made.
  • Assist in the collection of past-due accounts.
  • Supervise custodians to ensure that work area is kept clean.
  • Enforce safety requirements, including but not limited to forklift training and operation, processing of MSDS sheets on all products carried, and OSHA Right-to-Know.
  • Understand, keep abreast of, and comply with federal, state, and local regulations that may affect part sales.
  • Follow all company safety policies and procedures, and immediately report any and all accidents to a manager or supervisor
